This Privacy Policy describes how Sport-Profile LLC collects, uses, shares, and protects information in connection with the Sport-Profile website and related services. It applies to every visitor, athlete, parent/guardian, organization administrator, and Recruiter who uses the Service.
This Privacy Policy explains how Sport-Profile LLC ("Sport-Profile," "we," "us," or "our") collects, uses, shares, and protects information in connection with the Sport-Profile website and related services, marketed under the name "Get Identified" (collectively, the "Service"). This Privacy Policy is incorporated into, and should be read together with, our Terms and Conditions. By using the Service, you consent to the practices described here.
2.1 Account Information. When you create an account, we collect a name, email address, and password.
2.2 Profile Information. Depending on what you or the parent, guardian, or organization managing a profile choose to enter, a profile may include: the athlete's name, sport, position(s), jersey number, club/travel team, school, graduation year, height, weight, wingspan, hometown city and state, date of birth, NAIA/NCAA eligibility numbers, academic records (GPA, class rank, ACT/SAT/PSAT/FCAT scores, honors, desired majors), athletic statistics, a bio, coach contact information, parent/guardian contact information, social media handles, and photos or videos.
2.3 Date of Birth Is Never Shown Publicly. A profile's date of birth is used only to calculate and enforce the minimum-age requirement described in Section 10 and to display a computed “Age #” on the profile and brochure. The raw date of birth itself is never displayed to any other user, Recruiter, or visitor.
2.4 Upcoming Schedule and Communication Tracker. If you use the Upcoming Schedule feature, the events you log (type, time, and notes) may be visible to visitors to a published profile, the same as the rest of the profile. If you use the Communication Tracker, the entries you log (contact type, stage, institution, coach/recruiter name, and notes) are private — visible only to the profile's owner and to anyone with management access to that profile (a parent/guardian or organization administrator); they are never shown to Recruiters, other users, or the public.
2.5 Messages. If someone sends a message to a profile through the Service's contact form, we collect the sender's name, contact information, and message text, and deliver it to the profile's inbox.
2.6 Organization Information. If you register an organization, we collect the organization's name, type, contact email, and the profiles added to its roster.
2.7 Payment Information. If you purchase a subscription, payment is processed by our payment processor, Stripe. We do not receive or store your full card number — Stripe handles that in accordance with its own privacy policy and PCI-DSS security standards.
2.8 Information Collected Automatically. Like most websites, our hosting and authentication infrastructure automatically logs limited technical information (such as IP address and browser type) for security and reliability purposes.
We use only the cookies and local storage necessary to keep you signed in and to operate the Service (for example, your authentication session). We do not use third-party advertising cookies, web beacons, or cross-site tracking technologies, and we do not run targeted advertising on the Service.
We use the information described in Section 2 to: operate and provide the Service, including creating, publishing, and displaying profiles as configured by you; process subscription payments; send account-related and welcome communications, and content suggestions relevant to your sport; review and match Coaches Requests to eligible profiles as described in Section 5; respond to support requests; maintain the security and integrity of the Service; and comply with legal obligations.
5.1 Not Public By Default. Unless the athlete, or the parent, legal guardian, or organization administrator managing the profile, has enabled Public Search as described in Section 5.2, a profile is not openly searchable, browsable, or indexed for the general public. A Private profile's information is shared only in the following circumstances.
5.2 Optional Public Search. The athlete, or the parent, legal guardian, or organization administrator managing the profile, may choose to enable Public Search from the profile editing tools. Enabling Public Search lists the profile on Sport-Profile's open, no-login search directory, where anyone may find and view the full profile without a coach account or approval. We do not submit Public Search profiles to internet search engines for indexing, but we do not control whether a search engine or other third party independently indexes or caches a page you have made Public. This setting may be switched between Private and Public at any time from the profile editing tools and applies going forward; it does not retroactively remove any copy of the profile a third party may already have obtained while it was Public.
5.3 With Your Own Link. Anyone the athlete or the athlete's parent/guardian directly shares a profile's link with can view that profile, whether or not they have a Sport-Profile account, regardless of the Private/Public Search setting.
5.4 With Reviewed Recruiters. When a college coach or other Recruiter submits a Coaches Request, a Sport-Profile administrator reviews it before it is matched to any profile. Only after that review does contact information reach the Recruiter, or a matching profile's information reach them — we do not give Recruiters open, unsolicited access to browse Private profiles.
5.5 With Organization and Family Administrators. If a profile is managed by an organization (e.g., a school or club) or by a parent/guardian family account, that administrator can view and manage the profile's information.
5.6 With Service Providers. We share information with vendors who help us operate the Service, currently Stripe (payment processing) and Supabase (database, authentication, and hosting infrastructure). These providers are only permitted to use your information to provide services to us.
5.7 For Legal and Safety Reasons. We may disclose information if required by law, or where we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Sport-Profile, our users, or the public.
5.8 With Your Consent. We may share information with other third parties when you direct us to or otherwise consent.
5.9 We Do Not Sell Your Information. We do not sell personal information, and we do not share profile information with data brokers, advertisers, or marketing partners.
We use reasonable technical and administrative measures, including database-level access controls that restrict each user to only the data they are authorized to see, to protect information from unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
We retain profile and account information for as long as the account remains active, and for a reasonable period afterward to comply with legal, accounting, or dispute-resolution obligations. If you delete or deactivate a profile, associated data is removed from active use; residual copies may persist for a limited time in backups before being purged.
You, or the parent/guardian/organization administrator managing a profile, may access, correct, or update profile information at any time through the profile's edit page, including switching the Public Search setting described in Section 5.2 between Private and Public at any time. You may request deletion of a profile or account, or ask what information we hold about you, by contacting us at the email address in Section 13. We will respond to verified requests within a reasonable time, subject to the retention needs described in Section 7.
The Service may link to third-party websites, such as a school's website or a Recruiter's social media profile. We do not control and are not responsible for the privacy practices of those third-party sites. We encourage you to review the privacy policy of any site you visit.
The Service does not permit accounts or profiles for anyone under the age of 13, under any circumstances, including with parental consent — see Section 2.1 of our Terms and Conditions. We do not knowingly collect personal information from children under 13. For student-athletes between 13 and 17, a profile must be created and managed by a parent, legal guardian, or authorized organization administrator, as described in our Terms and Conditions. If we learn that we have collected information from a child under 13, we will delete it promptly; if you believe this has occurred, please contact us using the information in Section 13.
The Service is hosted in, and intended for use within, the United States. If you access the Service from outside the United States, your information will be processed and stored in the United States, which may not have the same data protection laws as your home country.
We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy on this page with a new effective date. Your continued use of the Service after the effective date of any changes constitutes acceptance of the updated policy.
